Rental Information
Field space is available at Hudson Fields for sporting events, picnics, concerts, festivals, and other group activities.
Reservation Procedures:
Reservation requests must be made in writing with the following information included:
- Name of group or organization
- Contact person’s name, address, phone/fax numbers, e-mail address
- First date(s) of choice/optional date(s) choice, if possible
- Type of event or sport with specifics about planned activities, arrival and departure times, etc.
- Anticipated number of participants, teams, or vendors
Reservations are accepted beginning at 8:00 a.m. on the first working day of January. Once a reservation request has been received, reviewed and approved, a SPECIAL USE AGGREEMENT will be forwarded to you for completion.
Hours:
Hudson Fields is open from 8:00 a.m. until sunset. All areas used during your event must be cleaned, the trash removed and placed in receptacles and dumpsters.
Application and Administration Fees:
An application fee of $50.00 is charged for all Hudson Fields events. A non-refundable deposit fee of $275.00 is charged for all organizations holding events at Hudson Fields.
Insurance Requirements:
The organization shall provide a minimum of liability insurance coverage of $500,000.00 to be retained for the event. A copy of this policy must be attached to the signed agreement and provided to the Field Manager at least 30 days prior to the event. Failure to fulfill this requirement will result in the cancellation of the event.
Signs:
Directional signs are permitted with the approval of the Field Manager.All signs created and posted by the organization shall be removed promptly at the end of the event.
First Aid Station:
An identified first-aid station must be provided for all event participants, coordinators and volunteers with access for emergency vehicles.
Layout of the Fields:
There are 7 game fields and 3 practice fields at the facility. Contact the Field Manager for a map of the facility. The organization will provide the Field Manager with a layout of playing fields that will be marked for the event. The layout of the event and fields will also include the location of the staging/registration area, first aid station, vendors, etc.
Alcohol:
Alcoholic beverages are prohibited in all areas of Hudson Fields.
